The Local Exhibitor’s Guide

Exhibiting at Chicago's Trade Shows

The venues that matter, the shows they host, and the timeline that gets you on the floor stress-free — written by the team that installs at McCormick Place, Navy Pier, and Rosemont.

Dates and pavilions shift from year to year. Use this as a planning map, and we will confirm the exact 2026/2027 dates to build your freight and setup window around.

Where to Exhibit

The Chicagoland Venues

Big shows in this market concentrate in a handful of venues. Knowing which one hosts your show tells you what your display needs to work.

McCormick Place

Chicago, IL — Lakefront

The largest indoor convention space in the United States. IMTS, the Chicago International Auto Show, NAMM, and hundreds of industry shows stage here every year.

Donald E. Stephens Convention Center

Rosemont, IL

One of the largest convention centers in the Midwest, a short hop north of the loop and a straight run from O’Hare — ideal for professional and B2B exhibits.

Navy Pier

Chicago, IL — Riverwalk

A 1,000-foot indoor exhibition hall on the lakefront with strong consumer and seasonal traffic, plus a high-visibility waterfront address.

Downtown Hotel Ballrooms

Chicago Loop & River North

A dense cluster of venue partners for smaller, high-touch industry meets, investor events, product launches, and trade association shows.

The Sequence That Works

A Week-by-Week Plan for Your Show

The same five steps get you on the floor with a margin to spare, whether the booth is a banner stand or a 20x20 island.

1

4 – 6 months out

Confirm your space

Lock booth location, size, and utilities early — top spots along main aisles fill first at major Chicago shows.

2

3 – 4 months out

Book the display

Finalize the design, approve artwork, and place the build. Custom and fabricated islands need the longest lead time.

3

6 – 8 weeks out

Line up logistics

Confirm freight, rigging, power, and local hands. Order rigging points early at McCormick Place — they are limited and book out.

4

Show week

Local I&D

Hardware is staged nearby and installed on site. A local team means no red-eye flights and a fast swap if something breaks mid-show.

5

After the show

Strike & store

Pack down, then keep the display in Chicago storage — skip round-trip freight before the next event.

The Local Edge

Why a Local Fabricator Wins Show Week

Freight that does not cross the country

Stage in Bensenville, deliver same-week. No long freight lines, no “will it arrive?” gamble before show day.

Mid-show repairs on site

If a panel tears or a light burns out, a local team and hardware bench are a twenty-minute phone call, not a freight claim.

Local storage between shows

Keep your built display ready in the Chicago area and turn a weekend show into a walk-up install.

Peak-season windows

Chicagoland show season books local setup crews fast — reserving early preserves your install date.

Frequently Asked

Exhibiting in Chicago — Common Questions

Where do the big Chicago trade shows take place?

Most major conventions cluster around four areas: McCormick Place, the largest indoor show space in the United States (home to IMTS, the Chicago International Auto Show, and hundreds of industry shows); the Donald E. Stephens Convention Center in Rosemont; Navy Pier; and a ring of downtown hotel ballrooms. Productive Displays sits in Bensenville, a 20-minute drive from O’Hare with a straight run to all of them.

Is IMTS at McCormick Place?

IMTS — the International Manufacturing Technology Show and the largest manufacturing event in North America — has been held at McCormick Place in the Chicago area in the fall. Venues and pavilions can shift between editions, so confirm the exact pavilion and dates for the year you intend to exhibit. We are glad to confirm them and plan your freight, rigging, and setup around the show.

How far in advance should I book my trade show booth?

Book booth space as soon as the show is on the calendar, because desirable locations fill first. Lock a display vendor three to four months ahead for custom work (longer for fabricated islands), then confirm freight, rigging, and local hands six to eight weeks out. For a Chicago show we can hold a local setup window and stage the hardware nearby so install day is short.

Do you handle setup and teardown in Chicago?

Yes — local install and dismantling is our advantage. We can deliver, install, and strike on-site at McCormick Place, Navy Pier, or the Donald E. Stephens Convention Center, swap a damaged part mid-show, and pull the freight to local storage afterward, rather than shipping a crate across the country and hoping it arrives intact.

How much does booth space at McCormick Place cost?

Booth space is set by the show organizer, not us. Inline space at major Chicago shows commonly runs from a few hundred to a few thousand dollars per square foot of footprint, depending on the event and location, on top of the display itself. Add freight, rigging, and setup. The display and its build are where choosing a local fabricator saves real money and risk.

Can you store my display in Chicago between shows?

Yes. Local storage solves two problems at once: you skip round-trip freight before every show, and your hardware never has to cross the country. We keep displays staged and ready in the Chicago area, so a weekend show can be a walk-up job rather than a logistics project.
