This question comes up on almost every first call with a new exhibitor, and the honest answer is: it depends less on budget than most people expect, and more on how often you actually exhibit.

The case for renting

Renting makes the most sense when a show is a one-off, when you're testing a new format or booth size before committing to it, or when storage and shipping logistics between shows would cost more than the display itself. Rentals also mean you're never stuck maintaining or repairing hardware between uses — that's someone else's problem once the show ends.

The case for buying

Buying wins once you're exhibiting at the same booth size multiple times a year. A purchased display amortizes over every show it's used at, and you're not paying rental markup each time. Owning also means your graphics and hardware stay consistent show to show, which matters if brand consistency across events is a priority.

A simple way to run the numbers

Take your typical rental cost for a show, multiply it by the number of shows you expect to attend in the next two years, and compare that total to the purchase price of an equivalent display. If the purchase price is lower than two years of rentals, buying is usually the better financial call — assuming you also have somewhere to store it between shows.

The middle ground: hybrid ownership

Many exhibitors land somewhere in between — they own a core backwall or modular kit they reuse every time, and rent add-ons (counters, lighting, flooring) for whichever show needs them. This keeps upfront cost down while still getting the consistency benefit of owning your primary display.
