A trade show booth rental in Chicago typically runs from a few hundred dollars for a portable counter kit to several thousand for a full 10x20 backwall installed on your floor space. The headline price is never the whole number — freight, labor, power, and graphics follow the display — so this is the honest breakdown of what a rental costs by size, and the lines most first-time renters do not budget for. What a rental actually includes

A trade show rental is the display system plus the logistics of getting it on the floor: the backwall, counter, and any panels or lighting you need, delivered and installed at the venue, then pulled back down when the show ends. It usually does not include your booth space (charged by the show organizer), your freight if you ship it yourself, or printed graphics unless you specify them. Rental cost by size and configuration

  • Counter or portable kit — a branded counter plus a banner or two for a table show. The lowest entry point, and ideal for a first regional show.
  • 10x10 backwall rental — the workhorse. A full pop-up or tension-fabric backwall, a counter, and lighting, installed on your 10x10. Most single-show exhibitors rent this tier.
  • 10x20 backwall rental — twice the wall, more furniture, and usually a hanging sign. Common when you have outgrown a 10x10 but are not ready to own.
  • Island or double-deck rental — for a large footprint, quoted per show because it depends on the configuration and the venue.

The costs that follow the rental

  • Drayage — the venue charges by weight to move your freight from the dock to your space. Renting locally means the display travels a short distance, not across the country.

  • Electrical — power drops are ordered from the venue and are not cheap; order early, on-site rates are punitive.
  • Graphics — if your messaging is new, you are printing a graphic whether you rent or own. A local printer turns that around in the same week.

When renting beats buying

Break-even against owning usually lands around three to four shows a year. Fewer than that, and renting is the lower-risk, lower-total-cost choice; more than that, owning starts to win.
