Every exhibitor eventually asks the same question: do I rent my booth, or buy it and haul it around? For most people the answer is not about the cost of the display itself, but about everything around it — and for shows in the Chicago area, that math has a specific twist. Here is the honest version.

What renting actually covers

A trade show rental is typically the display system plus the logistics of getting it on the floor. That means the backwall, counter, and any panels or lighting you need, delivered and installed at the venue, and pulled back down when the show ends. What it usually does not include is your booth space, which is charged by the show organizer, your freight if you ship yourself, and printed graphics unless you specify them. When renting wins

  • One or two shows a year. You are not exhibiting enough for an owned display to pay back its freight, storage, and refurbishment over time.
  • Your first show, or a one-off commitment. You do not want to commit capital to hardware you may never use again.
  • Your messaging changes between shows. Renting and re-printing a graphic is cheaper than owning and re-skining the same system repeatedly.
  • The show is near you and you do not want to store anything. This is the Chicago factor, covered below.

When owning still wins

If you exhibit at four or more shows a year, brand consistency is a core part of your sales motion, or your booth has to integrate a demo, a product line, or technology, owning usually makes more sense. The Chicago factor

For exhibitions in the Chicagoland area, a large share of the hidden cost of owning is moving hardware and storing it. Every round-trip to McCormick Place, Navy Pier, or the Donald E. Stephens Convention Center in Rosemont adds freight, and drayage and union labor at major venues adds more. A display that sits in storage between shows is not free. Renting, or renting from a vendor that stages and installs locally, removes the storage problem and compresses install day, because the freight never has to travel across the country. For a handful of local shows a year, that is frequently worth more than the price of the hardware.

A rule of thumb for the math

Treat the display as only half of the cost of exhibiting. Freight, booth space, power, labor, and graphics together typically double or triple the price of the system. Once you add storage and refurbishment on an owned display, break-even against a rental kit usually lands around three to four shows a year. Fewer than that, and renting is the lower-risk, lower-total-cost choice. More than that, and owning starts to win, especially for a custom build.
